Overview
In BCS, an assignment is a job or a lease: one set of insurance requirements for one vendor or tenant at one location. When a vendor picks up work at a new site, or a tenant leases a second space, you don't create a new vendor — you add an assignment. Each assignment is tracked against its own requirements, so the same company can be compliant on one job and non-compliant on another. 🏗️
Before you start
The form pulls from two lists you maintain under Module Settings: Requirement Categories (the rule sets — policy types, limits, endorsements and any required documents such as W-9s or licenses) and Locations (the physical sites, plus who must be listed as certificate holder and additional insured). If the category or location you need isn't there yet, add it first. ✅
Add an assignment
- Open the vendor or tenant. In the left menu go to Directory, choose the Vendors or Tenants tab, and click the company name.
- Go to Assignments & Compliance. This tab lists every existing assignment with its location, requirement category and current status. Click + Add Assignment (top of the record or top-right of the table).
- Choose the Requirement Category. Pick the rule set that matches the work. Once selected, an Edit Limits link appears if you need to adjust the requirements for this assignment only, without changing the category itself.
- Choose the Location(s). Select where the work happens. You can select more than one location for the same assignment.
- Optional: contact and certificate. Under Assignment Contacts, select or add the person who should receive insurance requests for this assignment. If you already have the certificate in hand, tick “I already have a COI to upload for this Vendor. Do not send an initial COI request.” so BCS doesn't email the vendor.
- Click Add Assignment. The new assignment appears in the Assignments & Compliance list, tracked separately from the vendor's other jobs or leases. 🎉
Tips
- 💡 The All / Active / Inactive filters above the table let you hide completed jobs or ended leases without deleting their history.
- 💡 Use the Search Assignments box to find a specific site quickly on vendors with many assignments.
- 💡 Leaving the contact empty means requests go to the vendor's default contacts; adding an assignment-specific contact routes them to that person instead.
