Create an E-Signature Template
Upload a PDF once, place signature, text and date fields, map them to the vendor record, and publish a reusable signature template.
Module: E-Signatures. Available on E-Signature Basic and Professional plans.
Overview
A signature template is your agreement PDF with the fields people complete at signing. Build it once and reuse it every time you send that agreement. 📄
Build the template 🛠️
- Go to E-Signatures → Signature Templates (or Settings → E-Signatures → E-Signature Templates).
- Click Create Template, or Edit Fields on an existing one.
- Click Upload PDF to add your agreement.
- Drag fields onto the document from Add Fields: Text Field, Date Field or Signature. Each field is assigned to the vendor or to an internal user (your countersigner).
- Select a field to open Field Settings: set its label, whether it's required, and its vendor-record mapping. Mapped fields (e.g. Company Name, Company Legal Name, Primary Contact Name) pre-fill from the vendor record when you send. The Mapping Summary lists every mapped field.
- For mapped fields, choose what the vendor sees at signing:
- Pre-filled, read-only: the value comes from the vendor record and can't be changed.
- Pre-filled, editable: starts with the vendor record value; the vendor may correct it.
- Blank — vendor completes: no pre-fill; the vendor types the value.
- Check the Signers order (Vendor → Countersigner). The countersigner can be fixed on the template or selected at send time.
- Click Save Draft to keep working, or Publish to make the template available for sending.
The template list shows each template's source PDF, signing order, field and mapping counts, and status (Draft or Published).
💡 Plan limit: E-Signature Basic includes one template; Professional removes the limit.
💡 Need a document only once? Use a one-off request from Send for Signature instead; you can convert it into a template later.
