Home Dashboard Help Guide

The Home Dashboard is a new feature in BCS designed to streamline your workflow by providing quick access to key actions and essential compliance statistics upon login. This guide explains its functionality and how to use it effectively.

Overview

The Home Dashboard is now your default login screen in BCS. It serves as a centralized hub for managing third-party records (vendors, tenants, subcontractors, etc.) and their Certificates of Insurance (COIs). The dashboard offers actionable shortcuts and key statistics to help you stay on top of compliance tasks.

Key Features

1. Quick Access Shortcuts

The dashboard provides immediate access to frequently used actions, including:

  • Adding individual records

  • Uploading COIs

  • Adding new locations

These shortcuts allow you to perform essential tasks without navigating through multiple menus.

2. Key Statistics

The dashboard displays critical compliance metrics, including:

  • Overall Compliance: A summary of your compliance status across all tracked third parties.

  • Upcoming Expirations: A view of COIs nearing expiration. You can adjust the time frame to focus on specific periods with heavy renewals or expirations.

  • Emails Sent: Insights into automated email activity generated by the system, giving you a sense of ongoing outreach efforts.

  • Open Tasks: A count of tasks assigned specifically to you, such as unread emails or unreviewed documents. Note that open tasks may pause automated emails or outreaches to vendors/tenants until completed.

  • Vendors/Tenants Missing Contact Information: Highlights third parties without a contact email, which may prevent automated COI requests.

  • Unresponsive Vendors: Identifies vendors or tenants not responding to automated emails, requiring your attention.

  • Vendors in Escalation: Shows third parties escalated by an internal user for issues like waiver requests or other internal matters needing resolution.

3. My Open Tasks

The "My Open Tasks" section summarizes tasks assigned specifically to you, not all open tasks in the system. This helps you focus on your responsibilities. To ensure tasks appear here:

  • Navigate to the compliance assignment level (not the company/vendor level).

  • Update the Assigned User field with your name.

  • Any subsequent emails or document submissions for that assignment will generate tasks assigned to you and appear on the dashboard.

4. Analytics Tab

For deeper insights, the Analytics tab remains available for detailed reports and data analysis. The dashboard provides a high-level overview, while the Analytics tab allows you to drill down into specific metrics.

How to Use the Dashboard

  1. Log In: Upon logging into BCS, you’ll land on the Home Dashboard by default.

  2. Toggle Between Third Parties: Switch between vendors, tenants, or other third parties to view relevant data.

  3. Use Shortcuts: Click on action buttons to add records, upload COIs, or manage locations.

  4. Monitor Stats: Review compliance metrics, upcoming expirations, and open tasks to prioritize your work.

  5. Adjust Time Frames: Modify the expiration time frame to focus on specific periods.

  6. Manage Tasks: Check "My Open Tasks" to address assignments specifically assigned to you. Update the Assigned User field at the compliance assignment level to ensure tasks are routed correctly.

  7. Address Escalations and Unresponsive Vendors: Click on records in the "Vendors in Escalation" or "Unresponsive Vendors" sections to resolve issues directly.
