User Notifications

Choose which compliance events reach your inbox, how narrow the scope is for each, and whether they arrive instantly or bundled into a digest.

Availability: Available to all Hiring Company users.

Overview

You can now decide for yourself which compliance events land in your inbox — and how wide or narrow each one should be. 📬 Notification preferences live in your own user settings, so every person on your team can tune them independently without affecting anyone else.

Background

Until now, staying on top of compliance changes meant logging in and checking. If a record flipped to non-compliant on a Tuesday afternoon, you found out the next time you happened to look. Personalized email notifications close that gap: the events you care about come to you, on the schedule you choose.

What’s new

  • ✅ Per-event email notifications — turn email on or off for each compliance event individually.
  • 🎯 A scope for every event — all records, records you follow, records you’re assigned to, specific locations, or specific segments.
  • ⭐ Followed records — star any Insurance Assignment to watch it, then point notifications at just those records.
  • 📅 Digest bundling — roll your events into one recap email on a daily, weekly, or monthly cadence at a time you pick.
  • 🔕 Mute all — pause every channel with one toggle while you’re out.

Finding your notification settings

  1. Click your profile in the top-right corner and choose My Settings.
  2. Select Notifications from the left-hand menu.

At the top you’ll see your Delivery channels — the email address notifications are sent to, which is your account email by default. Use Change if you want them going somewhere else.

Choosing which events notify you

Under the Compliance group you’ll find the record status events:

  • Record became compliant — all Insurance Assignments for a record are now Compliant.
  • Record became Non-Compliant — one or more Assignments have moved to Non-Compliant.
  • COI soon to expire — a Certificate of Insurance is approaching its expiration date.
  • COI expired — a tracked Certificate of Insurance has passed its expiration date.

Flip the Email toggle on any event to start receiving it. For COI soon to expire, you also choose how far ahead to be warned — pick any combination of 90d, 60d, 30d, 14d, and 7d before expiration.

Two shortcuts sit at the top-right of the group: Enable email for all switches on every event at once, and Mute group switches them all off.

Setting the scope for each event

Next to each event’s toggle is a scope selector. This is what keeps your inbox useful — you decide which slice of your portfolio each notification covers:

  • All records — every record in your portfolio.
  • Records I follow — only records you’ve starred.
  • Records I’m assigned to — records you’re one of the assigned users on.
  • Specific locations — pick one or more sites or regions.
  • Specific segments — filter by segment or category.

Scope is set per event, so you can take Record became Non-Compliant across all records while keeping COI soon to expire limited to a handful of sites. Choose your option and click Done. 👍

Following a record

To use the Records I follow scope, star the records you want to watch:

  1. Go to Compliance › Insurance Tracking.
  2. Find the assignment you want in the list.
  3. Click the star ⭐ at the left of that row. A filled star means you’re following it.

Use the Followed filter tab above the list to see everything you’re currently watching. Click the star again to unfollow.

Bundling notifications into a digest

If you’d rather not get an email each time an event fires, turn on Daily digest and your events are bundled into a single recap email. You control:

  • Frequency — Daily, Weekly, or Monthly.
  • Repeat every — the interval, so every 2 weeks is as easy as every week.
  • Time — the hour the digest is sent, 9:00 AM by default.

This is the setting to reach for when you want to know what happened without checking the platform daily. ⏰

Muting everything temporarily

Heading out? Turn on Mute all notifications to pause every channel until you switch it back off, without losing any of the preferences you’ve set up. 🌴

Saving your changes

As you make changes, a bar appears at the bottom of the page counting your unsaved edits. Click Save changes to apply them, or Discard to back them out. Nothing takes effect until you save. 💾

Tips

  • Start narrow. Turning everything on at All records is the fastest way to tune out your own alerts — begin with the events and scope you truly act on, then widen.
  • Pair Records I follow with a short list of high-value or problem vendors for real-time email, and leave the rest on a digest.
  • Stack the expiration warnings that match your renewal process — 30d to start the chase and 7d as a last call is a common pattern.
  • These settings are yours alone. Changing them doesn’t affect what your teammates receive.
