Custom Reports

Build, save, and share preset reports with exactly the data points and filters you need.

Overview 📊

Custom Reports lets you build and save preset reports containing exactly the data points you want to export, along with the specific filters you need. Instead of pulling a generic export and cleaning it up in a spreadsheet, you define the report once, save it, and reuse it whenever you need it — for weekly compliance reviews, audits, internal stakeholders, or anything else.

Creating a new report ✍️

  1. Go to Reports and choose the option to create a new report.
  2. Give the report a name — for example, "My Weekly Compliance Report".
  3. Add a short description if you'd like (optional, but helpful when you have several saved reports).
  4. Pick the object you want to report on.

Choosing the right object 🎯

This is the most important choice you'll make, so it's worth pausing here.

It's tempting to report on vendors or tenants, but that level only returns the vendor or tenant company information. If you want your report to include insurance details — policies, statuses, expirations, deficiencies — you need to go down to the assignment level.

Depending on your account configuration, assignments may be labeled jobs, tenants, or vendor assignments. Whatever the label, that's the object to select when you need insurance data. 💡

Choosing your columns 🧩

Once you've picked your object, you have two ways to build the column list:

Use the AI prompt. Describe the report you want in plain language and the columns are generated for you. There are examples in the prompt box to get you started — feel free to experiment with it.

Pick columns manually. Select the fields you want from the list below the prompt. For example:

  • Vendor name
  • Assignment compliance status
  • Next expiration date
  • Deficiency summary

Policy-level data 🔍

Scroll down to the Policies section and you can select individual policies. Each policy can be expanded further to reveal the specific data points available for export — for example, the policy status for Workers' Comp.

Everything stored in the system is available here, so the reporting is extremely granular. You don't need to select everything; just pick the data points that matter for this report.

Previewing and formatting 👀

Click Preview to see exactly what the report will look like before you save it.

Custom Reports doesn't just choose the fields — it also formats the output the way you want. You can reorder columns so the report reads well. For example, "Deficiency Summary" is a wide column, so you may want to move it to the end.

The preview shows you the real detail you'll get, including:

  • When each policy expires
  • Whether the policy has actually been received from the vendor or tenant
  • Whether a received policy has any deficiencies

Close the preview when you're done and click Save Report.

Managing saved reports 🗂️

Your new report now appears in your list of Saved Reports on the Reports home page. From here you can:

  • Edit the report — including fixing the name if you made a typo, then saving again
  • Email the report to yourself or to other recipients
  • Export the report as Excel or CSV

Emailing a report 📧

You can email a saved report to yourself and to any number of additional recipients. Just add the recipients and send.

Note: Emailing is currently a one-time send. A recurring scheduled email report is coming in a future release — stay tuned. 🔜

Excel or CSV? 💾

  • Choose Excel if you or other users are going to read the report directly. You get the nice formatting that comes with it.
  • Choose CSV if you're doing something more functional with the data, such as syncing it with another system.

Tips ✅

  • 📌 Report on the assignment level (jobs / tenants / vendor assignments) any time you need insurance details. Reporting on vendors or tenants only returns company information.
  • 🤖 Try the AI prompt first to get a starting set of columns, then fine-tune manually.
  • ↔️ Move wide columns like "Deficiency Summary" to the end so the report is easier to read.
  • 🔁 Save a separate report for each recurring reporting need rather than editing one report back and forth.
  • 👀 Always preview before saving so you can confirm the columns and their order.
